The Director of Finance and Operations of The Church Farm School is a vital member of the School’s Administrative team reporting directly to the Head of School and is responsible for the business, financial, investment, human resources, IT, risk management, student services and buildings and grounds functions of the School. The position requires leadership, collaboration and teamwork with the administrative team, faculty, staff, students and all members of the CFS Community, including the Board of Directors and its Committees on Finance, Development, Audit and Building and Grounds.

Candidates should present evidence of a clear understanding of the unique structure and operation of non-profit educational institutions, their goals and mission. They should demonstrate a record of successful managerial leadership, experience in a broad range of financial matters, experience in project development and building planning and a proven record of the ability to communicate with all constituencies inside and outside the School.

The School

CFS is an independent Episcopal college preparatory boarding and day school for boys in grades 9 through 12. Founded in 1918 by the Reverend Dr. Charles W. Shreiner, the school was conceived as an institution dedicated to providing an excellent education to young men who would ordinarily not have had the opportunity to receive such instruction. Located on a 140- acre pastoral campus 30 miles west of Philadelphia in Chester County, CFS provides a small, nurturing community with a profound purpose. The school is governed by an 18-member Board of Directors. CFS is extraordinarily rare in its diverse gathering of adults and boys reaching for greater intellectual, physical and spiritual heights. With students from so many varied backgrounds, the term “minority student” becomes meaningless. At the heart of the mission of CFS is a commitment to make a CFS education affordable no matter a family’s means. CFS awards more than six million dollars annually in scholarship assistance, made possible by a generous donor base and an endowment of over $150 million.

Position Summary

The Director of Finance and Operations is responsible for fiscal planning, financial records and reporting, investment oversight, budget management, financial systems and data analysis, and risk management. S/he also leads key administrative functions including; the business office, human resources, legal matters, facilities management and operations, safety, capital planning and construction, program transportation, facility rentals, IT system support and improvement and school/campus administrative duties (on-call).

Responsibilities

  • Oversee and manage the school’s central business functions to ensure the creation of appropriate financial controls and procedures to manage school resources consistent with budget
  • Oversee the business office of three, with responsibility for banking relationships and accounts, account reconciliations, cash management, tax filings/compliance, payroll, accounts payable/receivable, financial reporting, campus housing, student billing, student services and purchasing
  • Review all agreements concerning financial obligations, such as contracts for products or services and other actions requiring a commitment of financial resources
  • Control of the flow of cash through the organization and maintenance of the integrity of funds, securities and other valuable documents and assets

  • Oversee the development, administration, and reporting of the operating and capital budgets to the Head of School, the Board of Directors and specific committees

  • Reports on financial affairs of the school to its leadership in a clear and concise manner

  • Regular review of a comprehensive business insurance program including the purchase of appropriate property, casualty, liability and workers’ compensation insurance, development of proactive risk management practices and oversight of risk management activities and service

  • Leadership of the school’s Safety Committee

  • Oversee (with the facilities team of four professionals, including a Director of Facilities) all physical plant, grounds, and construction functions; help plan and direct replacements and renewals of the plant

  • Oversee (with the Network Administrator) maintenance and integration of state-of-the-art electronic technologies to support school programs, fund-raising, and the business administration of the school. Help plan and direct all replacements and renewals of IT and communications infrastructure and equipment

  • Oversee Human Resources, including employee relations, employment and personnel policies and procedures, planning and administration of benefits programs (health insurance, retirement plans, life and disability insurance, etc.) and compliance with all applicable federal and commonwealth employment-related statutes

  • Oversee the administration of the CFS investment portfolio and endowment; execute investment policies; implement investment decisions of the Finance Committee; and coordinate with the investment consultants, investment managers, and custodians, ensuring effective portfolio allocations, performance, and reporting

  • Serve as key staff resource to the Board of Directors’ finance, development, audit, and building and grounds committees; working closely with committee chairs to help organize agendas, meeting minutes and meeting materials.

  • Work with the Audit Committee, auditors and CFS staff to facilitate planning and completion of an independent financial audit to include review of all internal systems, controls and reporting procedures
  • Serve as a member of the School Administration team and participate in regular team meetings, attendance at various special school functions and meetings requiring administration team presence, and assist with administrator weekend coverage throughout the year.

Qualifications

The successful candidate will be a strategic leader, an open communicator and good collaborator who values operational effectiveness. S/he will have a history of accomplishment with financial and administrative systems and operations; proven experience with data management and analysis; the ability to develop, refine and maintain financial systems in a school or non-profit setting; the ability to work with faculty and professional staff colleagues, the ability to build common purpose in a diverse community through effective collaboration and information sharing; and proven experience working with a governing board, and internal and external constituents.

A minimum of 10-15 years of total financial experience and a minimum of 3-5 years experience in a financial and business leadership position is required. Experience in an independent secondary school, college or university setting is preferred, although individuals with strong financial and leadership skills in a related field are encouraged to explore this opportunity.Bachelor’s degree required, M.B.A. and/or a master’s degree in a related field strongly preferred.

Knowledge of generally accepted accounting principles and major computer software applications (including Blackbaud accounting systems) is also preferred.
